Welcome! You have arrived in Nijmegen and may have already started your job at RUNMC. The time after arrival is very busy with arranging all kinds of practical matters. Here you can find what you need to take care of. We hope you enjoy your time here!

Meeting with your HR Officer

After taking care of opening a bank account and obtaining a BSN number, a meeting will be arranged with your HR officer in which you will discuss various matters such as the details of your contract, insurances, your pension, and the Collective Labour Agreement (see below for more information). You will receive forms that need to be filled in to arrange all these matters. Also, make sure to check out the services that the various departments within RUNMC offer.

Registration at the Municipality Administration (GBA)

When you have found a place to live, you need to register at the Municipality Administration, in the municipality where you live. The assistant HR Officer will make an appointment for you at Burgerzaken, the Civil Affairs department. You will need a copy of your rental contract, and a copy of your passport.  Once you have registered, you will be given a Declaration Certificate which is necessary for the Immigration office (IND). When you register for the Municipality Administration, you will also receive a Citizen Service Number (Burgerservicenummer, BSN); this is a unique, personal number. This number is, amongst others, necessary to be able to open a bank account.

Bank account

It is usually recommended that you open a bank account if you are staying for more than three months, especially if you receive a salary. RUNMC can only manually transfer a salary to a foreign bank account; this takes longer and is more prone to mistakes. The Expatica website offers detailed information about the banks in the Netherlands and what you need to bring and do to open a bank account (e.g. Citizen Service Number (Burgerservicenummer, BSN)).
If you are living in Germany or Belgium, you cannot get a Citizen Service Number (BSN) and you will need to apply for a social-fiscal number (Sofinummer) so that you can open a bank account to receive your salary. The HR Officer can make an appointment at the Dutch Tax Office (Belastingdienst) to arrange this social-fiscal number.

Taxes

When you come to live in the Netherlands, you qualify as a resident taxpayer. If you live in, for example, Germany or Belgium, but receive your salary from RUNMC, you are a non-resident taxpayer. In both cases, you will be subject to Dutch income tax. 

Re-imbursement of taxes or the 30% rule
If you come to the Netherlands to work, you may be eligible for a special expense reimbursement facility: the 30% facility for incoming employees. The department you will be working in has to agree on this and start the application. This facility means that the employer can pay 30% of the wages as a (tax-free) allowance for the additional costs of your stay in the Netherlands. You will be eligible for this facility if you have specific expertise that is unavailable or scarce on the Dutch labour market. PhD-students generally don’t comply with the requirements for the 30 %-rule.

Pension

When you receive a salary from RUNMC, you automatically build up a pension with provider ABP. Through the Personnel Information Point you can make an appointment with a consultant of ABP, who can answer specific questions.

Insurances

Health insurance
If you work in the Netherlands, you are legally obliged to take out health insurance. If you do have to take out insurance, you can be insured at UMC Zorgverzekering: they are the health insurer for university medical centres and affiliated institutions, and insure more than 100.000 employees, and their family members. When you start working here, you will get a packet of information that will include a form to register for this health insurance. An employee of the UMC Zorgverzekering is there to help you twice a week at the Personnel Information Point (PIP). If you have a scholarship, and you will not be paid by the RUNMC, you can get insurance at Lippmann. 
 
Liability insurance
Liability insurance is designed to offer specific protection against third party insurance claims. Personal liability insurance (‘aansprakelijkheidsverzekering’ in short ‘AVP’) covers almost all damage for which you, as a private individual, can be held liable, regardless of how the incident in question occurred. Damage caused by motor vehicles (e.g., through a collision) is not covered by the AVP. For this, one must take out third-party insurance (WA-verzekering). Please check with your (health) insurance company at home as to whether you have valid liability insurance for the Netherlands.

Collective Labour Agreement (CAO)

The collective labour agreement for University Medical Centres (CAO-UMC) provides information about the employment status of the employees of all eight UMCs.

What happens when your contract expires?

Your contract is renewed and you wish to remain in the Netherlands
If you have a residence and working permit, you will have to renew them if your contract is extended. Usually your HR officer will discuss this with you when the renewal of your contract comes up, and he or she will then also extend your working permit. To renew your residence permit, you need the form you will receive from the IND three to four months before the expiration of your current residence permit. Part of this form needs to be filled in by your HR officer. A similar form will be filled in for the residence permit of your partner, if relevant.

Your contract expires and you are leaving the Netherlands
If your contract expires, RUNMC will let the Immigration Office (IND) know that you are leaving.

Here is what you will need to do before you leave:

  • You will need to close your bank account and transfer the money to another account. If you were paid by RUNMC, you will receive your last salary in the month in which you work your final day at RUNMC. The final check takes place one month later.
  • You will need to unregister at the Municipality Administration of the municipality where you live. 
  • The Dutch Tax Administration (Belastingdienst) also needs to know that you are moving away from the Netherlands. You can let them know when you are removing your registration at the Municipality Administration, and give them your new address.
  • Find out at ABP what happens with your accrued pension when you leave the Netherlands.

Also, make sure to check out the services that the various departments within RUNMC offer, such as forms for the annual performance review, or information on commuting expenses. On the internal website (Bedrijfsportaal) of RUNMC you can find more information (in English).
